Commercial cleaners need a repeatable scope, site facts and access process—not only the number of desks.

Describe the site

  • Address, floor area, storeys and floor types
  • Workstations, meeting rooms, kitchens and bathrooms
  • Operating hours and preferred cleaning window
  • Parking, loading, lift, keys, alarms and sign-in rules
  • Current issues, photos and expected start date

Separate recurring and periodic work

List the tasks required each visit—bins, bathrooms, kitchens, vacuuming, mopping and shared surfaces—then place carpet extraction, high glass, upholstery, deep cleans and consumable supply on a separate schedule. This makes the base price comparable and avoids hidden assumptions.

Frequency

Daily, selected weekdays, weekly or custom.

Consumables

Who supplies soap, paper products and bin liners.

Security

Approved personnel, keys, alarms and incident process.

Quality checks

Site contact, inspection frequency and issue turnaround.

Questions for shortlisted providers

Ask whether the quote includes GST, equipment, supervision and relief coverage; how scope changes are approved; what insurance applies; and how missed tasks or damage are reported. Larger or complex workplaces may benefit from a site visit before a fixed price is confirmed.
